Job Summary

Coordinate the annual inventory certification process for the university which includes data management, communications, scheduling, customer service, physical capture of university assets on campus and inventory reporting.

Essential Duties and Responsibilities

Generates Excel reports from UT Share and departmental inventory software of all active university assets. Assists with the creation and processing and presentations of all inventory related communications, including instructions, memos, forms, presentations, and departmental emails. Maintains an Inventory calendar in MS Outlook and coordinates file sharing of documents between Inventory and university departments. Schedules appointments with departments to scan assets. Coordinates the scanning of inventory tags and the physical locations of all assets in University buildings and facilities and performs departmental reviews. Monitors and provides updates of the inventory completion rate and creates various reports for other administrative departments. Assists in writing inventory policy, procedures, and guidelines in accordance with state laws and university rules. Performs other duties as assigned.

Required Qualifications

Bachelor’s degree. Three (3) years of experience in property management, inventory, business, finance, accounting, information systems, administrative support, or the equivalent experience. Seven (7) years of experience in or related experience.

Preferred Qualifications

Master’s degree plus three (3) years or more Oracle People Soft, Asset Management or other computerized database and document system experience. Proficiency with MS Office and People Soft. Excellent communication skills, both written and verbal.
